  1. Always write in a polite way
    1. Plan what you are going to say
      1. Check grammar & spellings
        1. Place a copy of all important documents
          1. Make sure the name & address of the receiver are correct
            1. Keep a copy of the letter & file it with the original copy of documents you sent
              1. Write the correct address on the envelope & out the correct postage on it
                1. Get a Certificate of postage from the post office if the letter is particularly important
                  1. Note the Reference (RE) is a one- line summary explaining what the letter is about
                    1. The Salutation can be in three different forms:
                      1. Dear Sir/ Madam
                        1. Dear Mr/Mrs/Ms Smith
                          1. Dear Peter/Joan
                          2. The closing can be one of two types:
                            1. Yours Faithfully if the person is not known to the sender
                              1. Yours Sincerely if the person is known to the sender
