Always write in a polite way
Plan what you are going to say
Check grammar & spellings
Place a copy of all important documents
Make sure the name & address of the receiver are correct
Keep a copy of the letter & file it with the original copy of documents you sent
Write the correct address on the envelope & out the correct postage on it
Get a Certificate of postage from the post office if the letter is particularly important
Note the Reference (RE) is a one- line summary explaining what the letter is about
The Salutation can be in three different forms:
Dear Sir/ Madam
Dear Mr/Mrs/Ms Smith
Dear Peter/Joan
The closing can be one of two types:
Yours Faithfully if the person is not known to the sender
Yours Sincerely if the person is known to the sender
