1What exactly is data?
- Adata are details that are meaningless because they lack relevance and if you look at data,it is either no use to you or in a form that you can use. Examples of data is numbers, words, images and sound.
- Bdata is information which makes sense even without any relevance
- Cdata is just numbers and can not come in different forms
2define and sum up the difference between information and data?
- Adata is just raw values ,stored and processed by data processing system and that information is produced together with a context which adds meaning.
- Bthe difference between data and information is that data is only numbers, words, images and sound whereas information is just words.
3Good quality information is needed to make informed decisions ,other than accurate or complete.Describe the different characteristics of good quality information.
- Aone characteristic is the information must have accuracy because if the format of the information is in a complex format then people will become frustrated as it is too complicated to understand and it must be written in a large font.A second characteristic of good quality information is it has to be relevant as there is no point finding out information from people whose children are in their late teens as this is not up to date.
- Bgood quality information is needed to make informed decisions as,one characteristic is that it needs to be correctly targeted as you won't get good accurate information if you just target people who drive cars if you are finding out about motorbike drivers.
- Cgood quality information needs to be upto date and correctly targeted.
4The reasons we encode data is because coding data takes less effort to type in and more data can appear on the screen, taking up less storage and is easier to check that a code is accurate using validation checks.
- ATrue
- BFalse
5The problem with reliance on judgements is that value judgements can be different for different people and everyone has different opinions.
- ATrue
- BFalse
6Describe using distinctly different examples, two of the costs involved in getting good quality information ?
- Aone charasteristic of getting good qaulity information is human resource costs like processing questionnaires and employing specialist staff to give the instructions to the database. The second characteristic is financial costs like the cost is transferring data from one place to another using expensive communication lines and consumable costs such as printerand toner/ink cartridges.
- Bthe time costs are the only costs involved in getting good quality information like the backing up of large amounts of data is necessary but time consuming and some reports which are complex and demand alot of processing time.
7information aids decision making by the more information there is the more relevance they have which is a less risk in the decision making process and allows a manger for example to take remedial action like if a customer owes a large amount, no orders should be sent to them until they are up to date with their account.
- ATrue
- BFalse
8Why is it important in keeping information up to date? 2 marks
- AIt is important to keep information up to date as there is a legal requirement for information to be kept up to date under the Data Protection Act 1998 and not keeping information up to date could lead to prosecution.A letter could be sent to a person who has passed away causing distress to a family member and information needs to be kept personal so if the person is sent to the wrong address the organisation can be sued as the information was not updated.
- BOne important characteristic f why information needs to be kept up to date is because the system needs to be updated all the time or the system won't work and personal information could be sent to the wrong address leading to mistrust in customers.
- Cinformation needs to be kept up-to-date as out of date data takes up to much space and a lot of money has gone into pay for the database to be renewed.
9Encoding data causes a number of problems.Describe one problem with encoding data.2 marks, pick the best answer
- AEncoding data is less accurate than original data because for example it would be up yo the worker in the shop to define which category clothing would go in to such as L,M,S and everyone's opinion varies. The problem with encoding data is there is not much precision.
- BEncoding data isn't the best method as there isn't a wide set of options and the options are limited
- CEncoding data can make you lose faith in the data base in cases such as criminals on police computer systems as the codes for eye may not be an exact colour but mixed. The database only allows you to enter an exact colour so it is up t us to choose and we may reach the wrong judgement.
10Give two reasons why we encode data? 2 marks, pick the best supported answer
- AThe first characteristic why we encode data is because encoded data takes up less storage space and it is easier to check that a code is accurate by using validation checks for in cases for checking airport codes like LHR for London Heathrow which is a lot faster.
- Bone characteristic of encoding data is that fewer keystrokes are made meaning there is less chance of making a transcription or possibly a keyboard error.
- CA reason why many companies such as retail stores, car manufacturers and major airports use the data method f encoding is due to the fact that putting data into a code summarised it so there is less to type in.
11Explain with support how a school uses data on a daily basis in a school environment? pick the best answered question
- ASchool uses data when recording and looking at exam results to see progress. The school enters phone numbers which are raw data but they add knowledge with the name of the pupil in order to contact parents. The school uses data when recording the register and reviewing poor attendance and who to send letters home to
- BA school uses data in order to get knowledge of pupils religions and ethnicity to provide to the government
- CA school uses data when the school enters medical records and personal details to get background knowledge if an injury or accident happened they would know how to respond like to provide the child with a asthma pump in an asthma attack.
12An It manager explains that data is processed to produce information, give three distinctly different examples 3 marks
- AOne example of processing is making decisions, performing calculations and analysing data.
- BOne example of processing is batch processing where different tasks are put into groups and processed. The second charasteristic is online processing where the data is updated and you deal directly with the computer system. The third charasteristic is real time processing meaning the system uses sensors instead of human input
13Data can take in different forms, give the forms that data can take in? 3 marks
- AThe first form data can take in is different sounds, the second form is images and the final charasteristic is numbers
- BData can only come in numbers without any relevant information
- CThe forms data can only come in is numbers, words, images.
14Good quality information is vital to success of an organisation and helps them in the decision making process.Other than monitoring progress, and using examples explain two ways in which good quality information can add value to an organisation.
- AOne charasteristic of how good quality information can add value to an oraganisation is it can target reasoning and stratedgy making to gain an advantage over competitors. Such as buying more certain commodity because the sales are good and taking old fashioned ,unselling products of the market.Good quality information can add value to an organisation by spotting trends an the information can tell the organisation how well it is doing compared to competitors.
- BGood quality information is vital to an organisation and helps a manufacturer spend money on developing new products because they have a gap in the market to increase profits and be different to other companies.
