Revision 3.1.6
Characteristics of documnets
- Characters
- letters, numbers or symbols that make up the documents
- Sections
- parts of the document that are formatted differently from the main text
- Frames
- text or image that can be re-sized or repositioned from the main text. It breaks the information up
- Paragraphs
- blocks of text that are signified by spaces inbetween. These make the text easier to read
- Footnote
- extra information about a certain part of the text taht is not necessary to be in the main text. It is located at the bottom of the individual page
- Header
- appears at the top of everypage. Normally contains name and date
- Footer
- the bottom of every page. Normally contain the page number
- Characters
Mail Merge
- create/open template
- select data source
- insert mail feds
- preview and print document
- insert mail feds
- select data source
- Advantages
- no need to recreate data source
- ensures consistency - only one mast document needed
- faster to produce a bulk of letters, allows other work to be done at same time
- letters can be saved and reused asgaina and again
- create/open template
Reformatting documnets
- REDUCE or INCREASE
- Font style/size/colour/emphasis
- Page size/margins/orientation
- Text alignment
- Line spacing
- REDUCE or INCREASE
Thumbnails
- reduced size versions of images used to help recognise and organise them
- Advanatges
- allows the user to view a large number of images on the screen at the same time
- it lets the user chose which image to be openbased on the preview
- it saves memory as not all images need to be looked at
- Disadvanatges
- as the images are small it is hard to see the details
- can take a long time for a large amount of thumbnails to load on screen
Clip Art
- a set of pre-made images that can be copied or pastd into document files
- Advantages
- easy to find the image you are looking for
- included in the application software so no time spent searching for image
- the packages are cheaper than hiring a designer
- clip art images are royalty free (copyright free)
- images are vector based - can enlarge them without becoming pixelated
- Disadvantages
- internet clip art may be subject to copyright
- images aren't orginal as other companies can use them
- lower quality images can lessen a companies image (unprofessional look)
Bitmap
- an image that is built up from small rectanugalr blocks of a single colour (pixels)
- pixelation - magnify the image much it become blurry
- high resolution - more pixels within the image - higher quality
- higher resolution - larger file size - more pixels to be individually saved
- can be compressed by encoding the information more efficiently
- addressable - each pixel colour can change rapidly under computer control
- leaflets
- prospectous
- an image that is built up from small rectanugalr blocks of a single colour (pixels)
Vectors
- created by mathematical equations and caculations
- small file size - stores the image as a set of instructions of how to create the image
- no pixelation - no pixels are being enlarge the image is recalculated to be drawn bigger
- more processing power - the image needs to be drawn from the instructions stored
- Benefits
- less memory
- more precise images
- clip art
Graphic Libaries
- a collection of related images that add onto a software package with specific images
- Advanatges
- fast to create a customised design as from scratch it would take a long time
- less time spent searchign for images as they are grouped by category
- Disadvanatges
- the graphics will need to be keep up to date, the old graphics will need to be replaced with the new graphics
- can be expensive to purchase or develop a customised set of images
Projectors
- Acetate
- Advanatges
- you can change the order of the slides
- don't need technical expertise to use it, only need a bulb
- equipment is easy to fix if it goes wrong
- Disadvanatges
- no interaction - static text and images - not video or sound
- quality of slide deteriorate over time
- order of slides can become muddles or slides can be lost
- user has lack of technical expertise (unprofessional)
- presenter has to be in the room to change the slides
- Advanatges
- Electronic
- Advanatges
- edit presentation during the presentation
- interact with the audience - increase audiences attention
- no human intervention is required - it can run automattically
- Disadvanatges
- lot of equipment needed (technical faults)
- compatibility issues with software and devices
- training to use the hardware - cost implication
- Advanatges
- Acetate
Navigation Structures
- Linear
- the user presnts the presentation in numerical order
- predictable - audience will see same presntation
- not interactive
- Non - Linear
- the user is able to chose any other slide in the presenation
- need buttons or hyperlinks to navigate around
- slides can be accessed in any order and can move forward and backwards
- more complicated to set up and it is harder to create handouts - not in any order
- Hierarchical
- the user is able to chose a pathway that then must be followed in an order
- you are able to chose a pathway you want
- you can't deteriate from the pathway once you have chosen it
- Linear
