flat file data bases
- all the data is contained in one table
- flat file databases can be created in spreadsheets, word processors and all databases
- in a flat file database each row and column of the table is known as a record
relational databases
- the data is stored in separate tables or entitles - in school for example: students, teachers and courses
- all the data tables are linked by key fields
- relational database management system (RDBMS) are used to control who has access to what
specific features of a database
- all database software packages use a range of specific features.
- most database software has a range of wizards to help the user create a database.
- the database is made up of several objects, such as tables, forms, relationship, queries and reports
tables
- field names are shown as columns and records are shown as rows
- one relationship could be one to many
- tables can be modified directly
- using standard functions for insert/delete record and inset/delete fields
- or by modifying the field content however it is more user friendly to use a data entry form
queries
- can perform many different functions such as retrieving explicit data from one or more tabled
- queries permit the viewing of data from more than one table in a single datasheet
mail merge from databases
- mail merging documents is commonly used to write letters toba large group of people
- they are based on two applications: a database for the names and addresses and a word processor for the main document text
- other documents can be produced by mail merge such as invoices, pay slips, membership cards and name badges
